Using SignatureOne Profile Server

What is SignatureOne Profile Server?

The SignatureOne Profile Server (Profile Server) is Communication Intelligence Corporation’s server product that provides a common framework for electronic signature authentication, biometric signature verification and transaction logging.

Profile Server provides the unique capabilities of user administration, support for biometric and basic cryptographic authentication, and a comprehensive digital transaction log of every signature in every document within a single offering. It also provides an extensible infrastructure to allow the enterprise or software developers to add support for additional e-signature technologies without affecting the baseline product functions.

Used in conjunction with CIC’s latest Sign-it client software, Profile Server enables the highest level of flexibility, security and non-repudiation of electronic transactions within a common process that is transparent to the specific signature technology employed.

Logging into SignatureOne Profile Server

At the Profile Server login screen, enter the User Name and Password provided to you by your Administrator to log into the Profile Server. The User ID is limited to ASCII characters. The password is case-sensitive and limited to ASCII characters. If your Admin has set up the Profile Server to use LDAP for login, consult with your Admin for User ID and password limitations.

Multiple failed attempts to log into the Profile Server will lock you out. The Profile Server will inform you that your Password is Locked. The number of attempts allowed is pre-set by the Company Administrator. If your lock type is set to "15 minutes," you can try logging in again after waiting 15 minutes. If your lock type is set to "Permanent," you will need to contact your Administrator to unlock your profile. For LDAP logins, these limitations do not apply.

Viewing Your Signature Profile

After you've logged in, your User Profile containing the following information will be displayed.

Profile Data Description
Company Name Your company name
User ID The User ID assigned to you to log into SignatureOne
Title Your title at your company
First Name Your first name
Last Name Your last name
Email Your email address at your company
User Type "User" – As a User, you can view your signature profile, change your password, create your signature methods, and download your signature profile to your local computer. Users using LDAP for signature method authentication will not be able to download profiles.
Create Date The date your signature profile was created
Use LDAP for login password authentication Yes – Use LDAP ID and password for login to Profile Server
No – Use Profile Server ID and password for login
Use LDAP for signature method authentication Yes – Use LDAP ID and password for signature method authentication
No – Use Profile Server ID and signature method password for signature method authentication
Expiration Date The date your signature profile expires – If your profile expires, see your Administrator to reactivate it.
Password Expiration Your password can be set to not expire, expire every 30 days, 3 months, or 6 months from the date of creation of your profile.  If your password expires, log into the Profile Server and change it.
Force Password Change at Next Logon Checked – You will need to change your password the next time you log in.
Unchecked – Password change not required at your next login.
Lock Type "Permanent" or "15 Minutes" – Three failed attempts to log into the Profile Server will lock you out.  If your lock type is set to "15 minutes," you can try logging in again after waiting 15 minutes.  If your lock type is set to "Permanent," you will need to contact your Administrator to unlock your profile.
Locked Time The time you were locked out of the Profile Server – This information is only viewable by your Administrator.  It will clear once your profile is unlocked.
Groups The groups you've been assigned to in the Profile Server
Signature Methods The signature methods assigned to you by your Administrator

Changing Your Password

For security purposes you should change your password periodically. You will be required to change it if your Administrator has set an expiration date for your password or has selected to Force Password Change at Next Logon The length of the password is preset by your Administrator. The password is case-sensitive and is limited to ASCII characters.

  1. Select Change Password.
  2. Enter Old Password.
  3. Enter New Password.
  4. Confirm New Password.
  5. Update.

Note: For LDAP users, the password limitations noted above do not apply. Changing passwords are done through your LDAP server, not SignatureOne.

Creating Signature Methods

The signature methods that can be created in SignatureOne Profile Server are:

Signature Method Description
Password The length of the password is preset by your Administrator. The password is case-sensitive and is limited to ASCII characters. These password limitations do not apply to users using LDAP for signature method authentication.
Signature Stamp A signature stamp is a facsimile of your signature. It can be inserted into a document with the entry of a password you define. If LDAP is selected for signature method authentication, the LDAP password will be used to release the signature stamp.
Signature Template A signature template is used to verify your signature against when you sign a document.

To create the signature method:

  1. Select Create under Actions next to the signature method.
  2. Follow the instructions below to complete the method.

Password

Users set up to use LDAP for signature method authentication will not have the option to create a password. The password will be their LDAP password.
  1. Enter password.
  2. Confirm password.
  3. Select Finish to complete the password enrollment.

Signature Stamp

  1. Input signature using pen tablet.
  2. Select Clear to re-enter the current signature, if necessary.
  3. Enter password. Users set up to use LDAP for signature method authentication will not need to enter a password.
  4. Re-enter password.
  5. Select Finish to complete the stamp enrollment.

Signature Template

  1. Input signature using pen tablet.
  2. Select Clear Signature to re-enter the current signature, if necessary.
  3. Select Add Signature.
  4. Repeat steps 1 to 3 for a total of three signatures.
  5. Select Test to verify your signature against the newly created template.
  6. Select Finish to complete the signature enrollment.

Editing Signature Methods

  1. Select Edit under Actions next to the signature method.
  2. Follow the instructions to complete the method.  For details, refer to Creating Signature Methods.

Downloading Your Profile

To use your signature profile locally while you are not connected to SignatureOne Profile Server, select Download to download your profile to a local database on your computer.  Only completed signature methods are downloaded.  Completed methods are denoted with "Edit" under Actions. If LDAP is used for signature method authentication, downloading of profiles is not supported.
